Data deletion instructions

Option A — Delete from inside the app (recommended)

The fastest way to permanently delete your account and all associated data:

1. Sign in at app.cosmosconnect.io
2. Go to Settings → Account
3. Scroll to the Danger zone section at the bottom
4. Click "Delete my account"
5. Type your business name to confirm — this prevents accidental deletion
6. Click the final red confirmation button

You'll see a confirmation screen. Your account is immediately marked for deletion.

Option B — Request deletion by email

If you can't access your account (forgot password, staff no longer available, etc.), email us with your deletion request:

• Send to: privacy@cosmosconnect.io
• Subject line: Data deletion request
• Include:
  • The business name registered on the account
  • The email address the account was created with
  • The WhatsApp Business phone number connected to the account (if any)
  • A brief confirmation that you are authorised to request this deletion

We verify identity before processing (usually via a confirmation email to the registered account address, or a WhatsApp verification message to the connected number). Once verified, deletion proceeds as described below.

What happens after you delete

Deletion is a two-stage process, designed to protect against accidental loss:

Stage 1 · Grace period (30 days)

• Your account is deactivated — no one can log in
• All automations, bots, and broadcasts stop immediately
• Message and contact data is retained but inaccessible
• You can email us within 30 days to restore the account without data loss

Stage 2 · Permanent deletion (after day 30)

• Account record, user profiles, and team members: deleted
• Message history, contacts, bookings, leads: deleted
• Bot rules, flows, templates: deleted
• Uploaded images and files: deleted
• WhatsApp Business Account tokens: revoked and deleted
• Backups containing the deleted data: purged in the next backup rotation (up to 60 days after deletion)

What we retain (and why)

Certain records must be retained even after deletion, by law:

• Payment invoices and tax records: retained for 7 years under the Indian Income Tax Act
• Audit logs of the deletion itself: retained for 2 years to prove compliance with your request
• Anonymised aggregate metrics: may be retained indefinitely — this data cannot be linked back to you or any End User

WhatsApp data (Meta)

Cosmos Connect uses the official WhatsApp Business Platform. When you delete your account with us:

• Our access to your WhatsApp Business Account is revoked immediately
• Message content stored on Meta's servers is subject to Meta's own retention policies — see Meta's WhatsApp Privacy Policy
• To also delete the WhatsApp Business Account itself, you must do so via Meta Business Manager separately

Deleting specific items instead of the whole account

You don't have to delete your whole account. You can also delete:

• Individual conversations — from the Inbox, tap the ⋮ menu → Delete conversation
• A specific contact — Contacts → tap the contact → Delete
• A team member — Team settings → find the member → Remove
• A single message — right-click any message in the inbox → Delete for me

End Users of our Customers

If you are a customer of a business that uses Cosmos Connect (an "End User"), and want your data deleted from that business's records: please contact the business directly. They are the controller of your data, and they hold the "delete" button for your record. We will assist the business in processing such requests, but we cannot delete End User data at the End User's own request without the Customer's involvement.

Response times

• In-app deletion: immediate (starts the 30-day grace period the moment you click confirm)
• Email deletion requests: we acknowledge within 2 business days and complete verification + deletion setup within 7 business days
• Complete permanent deletion: 30 days after your initial request (grace period) + up to 60 days for backup rotation
